Who we are

Office Edit is a trading name of ARI Installations Ltd, Unit 5 Innovation Park, 89 Manor Farm Road, Wembley HA0 1BA. We are the data controller for the personal information collected through this website and in the course of our business. If you have any questions about this policy or how we handle your information, contact us at info@officeedit.com or on 020 8566 8596.

This policy explains what information we collect, why we collect it, who we share it with and the rights you have over it. It applies to customers, people who contact us or request a quote, visitors to this website and businesses whose furniture we buy or clear.

Information we collect

Information you give us. When you place an order, create an account, request a quote, book a viewing, ask about buy-back or clearance, or contact us by phone, email or the form on this website, we collect the details you provide. Typically this is your name, company, job title, delivery and billing address, email address, telephone number and the details of your enquiry or order. If we survey your premises for a buy-back or clearance we may take notes and photographs of the furniture and the site.

Payment information. Card payments on this website are handled by our payment processor. Your card details are entered directly into their secure system; we do not see or store your full card number. We keep a record of the transaction, the last four digits of the card and the payment reference.

Information collected automatically. When you use the website our systems record technical information such as your IP address, browser type and the pages you visit. This is used to keep the site secure, to detect abuse and to keep it working properly. See the cookies section below for the cookies we use.

Information from others. Our payment processor tells us whether a payment has succeeded, and our delivery partners tell us when an order has been delivered.

How we use your information

We use your information for the following purposes, relying on the lawful bases shown:

  • To process and deliver your order, take payment, arrange delivery or installation and provide a VAT invoice – performance of a contract.
  • To respond to enquiries, provide quotes and arrange viewings – steps taken at your request before entering a contract, and our legitimate interest in running our business.
  • To manage your account and keep a record of your orders – performance of a contract.
  • To send you service messages about your order, delivery or account – performance of a contract.
  • To deal with returns, complaints and guarantee claims – performance of a contract and legal obligation.
  • To send you news and offers about our stock and services, where you have agreed to receive them or where you are an existing customer and have not opted out – consent, or our legitimate interest in marketing to existing customers. You can opt out at any time using the link in any email or by contacting us.
  • To keep the website and our systems secure, prevent fraud and protect against spam – our legitimate interests.
  • To keep accounting and tax records – legal obligation.

We do not use your information for automated decision-making or profiling.

Who we share it with

We share personal information only where it is needed to run our business and provide our services, with:

  • our payment processor, to take card payments and process refunds;
  • our delivery and installation teams, including ARI Installations, so that they can contact you and deliver to your premises;
  • the companies that host this website and provide our email, IT and security systems;
  • Google, whose reCAPTCHA service protects our contact form from spam, whose Maps service shows our location on the contact page, and whose Fonts service provides the typefaces on this site;
  • our accountants, insurers and professional advisers; and
  • the police, regulators or other authorities where the law requires it.

We never sell personal information, and we do not share it with third parties for their own marketing.

International transfers

We are based in the UK and store our records here. Some of the service providers listed above, such as our payment processor and Google, may process information outside the UK. Where they do, the transfer is protected by safeguards recognised under UK data protection law, such as the UK International Data Transfer Agreement or an adequacy decision.

How long we keep it

  • Orders, invoices and payment records – six years from the end of the financial year in which the order was placed, to meet our accounting and tax obligations.
  • Accounts – for as long as your account is open. You can ask us to close it at any time.
  • Enquiries, quotes and buy-back surveys – up to two years after our last contact, in case you return to the enquiry.
  • Marketing preferences – until you opt out, when we keep a record of the opt-out so that we respect it.
  • Website security logs – normally no more than 90 days.

How we keep it safe

This website is served over an encrypted connection and protected by a firewall and security monitoring. Payment details are handled entirely by our payment processor. Access to customer records is limited to staff who need it to do their jobs.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is inaccurate or incomplete;
  • ask us to delete your information, where we no longer need it;
  • ask us to restrict how we use it, or object to our using it, in certain circumstances;
  • receive the information you gave us in a portable format;
  • withdraw consent at any time, where we rely on consent; and
  • opt out of marketing at any time.

To exercise any of these rights, contact us using the details above. We will respond within one month. If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113, although we would welcome the chance to resolve your concern first.
